Contact and quotation data: name, company, email address, phone number and the content of your request.

Transport data: pickup and delivery addresses, contact persons, load details, consignment notes and proof of delivery.

Applicant data: name, contact details, CV and any information you share with an open application.

Website data: IP address, device and browser type, pages visited and functional cookie preferences.

Performance of a contract: preparing quotations, planning and executing transport orders, invoicing and customer support.

Legal obligation: transport, customs, tax and administrative retention requirements.

Legitimate interest: operational safety, fraud prevention, service improvement and direct communication with business contacts.

Consent: optional cookies and any communication you explicitly signed up for. Consent can be withdrawn at any time.

We share data only where necessary: with carrier partners executing a shipment, with our IT, hosting and communication suppliers, with accountants and insurers, and with authorities where the law requires it.

Processors act under a data processing agreement. We do not sell personal data.

Transfers outside the European Economic Area only take place with appropriate safeguards, such as EU Standard Contractual Clauses.

Quotation and contact data: up to 2 years after the last contact.

Transport and invoicing records: 7 years, in line with Dutch tax law.

Open applications: up to 12 months, unless you ask us to remove them sooner.

We apply appropriate technical and organisational measures, including access control, encrypted connections, backups and a need-to-know policy within our team.

You have the right to access, rectify, erase, restrict or transfer your data, and to object to processing based on a legitimate interest.

To exercise a right, contact info@kaibisitransport.com. We respond within one month. You may also lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
